The Glasshouse at River Oaks is one of Kansas City's most distinctive wedding and event venues — a stunning European-inspired property set on a former golf course, featuring a breathtaking climate-controlled glasshouse accommodating up to 350 guests and lush gardens that make every celebration unforgettable.

Founded by Mariana and Jorge with a passion for beauty, travel, and genuine service, we opened in October 2025 and have grown rapidly to nearly 100 weddings per year — and we are just getting started. We operate on a systems-based hospitality model: one where every couple feels safe, guided, and professionally cared for — not dependent on any one individual's availability.

The Opportunity

We are looking for an exceptional Venue Operations Manager to become the operational backbone of The Glasshouse. This is a leadership role for someone who thrives in structure, leads teams with confidence, holds standards without apology, and delivers a world-class client experience from first contact through flawless event execution.

This is not a coordinator role. We are looking for an operations leader — someone who protects the integrity of our systems while making every couple feel genuinely cared for.

Roles & Responsibilities

Client Management

  • Serve as the primary point of contact for booked couples after contract signing

  • Guide couples through venue planning timelines, layout approvals, and venue policies

  • Answer questions regarding vendor requirements, logistics, and event flow

  • Maintain clear, professional, and timely communication through email, calls, and planning meetings

Event Planning Support

  • Review floor plans, layouts, and timelines for feasibility within venue policies

  • Coordinate with planners, caterers, DJs, photographers, and vendors on logistics and venue requirements

  • Conduct venue walkthroughs and open houses

  • Ensure couples meet all deadlines for layouts, guest counts, insurance, and vendor documentation

Event Day Oversight

  • Assign trained staff and team captains to each event and communicate roles clearly

  • Train and prepare team captains on venue standards, policies, and event procedures

  • Oversee staff performance and ensure consistent, high-quality execution

  • Monitor event flow and troubleshoot operational issues calmly and professionally

  • Ensure vendors comply with venue policies and safety standards

  • Coordinate ceremony setups, room flips, and reception transitions with the team

The Venue Manager does not need to be present at every event. However, you remain fully responsible for training the team, assigning staff, and ensuring every event is executed to The Glasshouse standard.

Operational Oversight

  • Manage the venue calendar, booking schedules, and event logistics

  • Coordinate cleaning crews, setup teams, and venue staff scheduling

  • Ensure all venue spaces are maintained, clean, and event-ready

  • Monitor event timelines and ensure proper end-of-night procedures

Vendor Relations

  • Build and maintain strong relationships with planners, caterers, and preferred vendors

  • Vet and approve outside vendors to ensure compliance with venue requirements

  • Enforce licensing, insurance, staffing, and safety standards with all vendor partners

Experience & Qualifications

  • 3–5+ years of experience in event management, venue management, hospitality, or wedding coordination

  • Proven experience managing large events (100–300+ guests)

  • Strong understanding of wedding timelines, vendor logistics, and event flow

  • Experience managing multiple events simultaneously

  • Ability to manage high-pressure environments calmly and professionally

  • Familiarity with venue operations, catering logistics, alcohol service policies, and event safety protocols

  • Experience enforcing contracts, policies, and operational boundaries with clients and vendors

Preferred Background

  • Wedding venue management

  • Wedding planner or coordinator

  • Hospitality or hotel event management

  • Luxury event production

Software & Technical Skills

Familiarity with the following platforms is preferred — we will train the right person:

  • Aisle Planner — floor plans, layouts, timelines, and planning portals

  • HoneyBook or similar venue CRM platforms

  • Google Workspace — Gmail, Docs, Sheets, Drive, Calendar

  • Squarespace - website

Compensation

  • Base salary: $55,000

  • Performance bonus tied to client satisfaction, 5-star review rate, and operational excellence ($5,000–$10,000)

Flexible Hours & Event Attendance

This role combines remote administrative work with on-site oversight during key events. The manager is not required to attend every event but may be needed for complex weddings, staff training, or VIP clients, with separate compensation for attending critical portions.

Hours may fluctuate seasonally.

The role could grow to include leading tours for couples, increasing in-person hours, responsibility and compensation!
